WHAT IT SOLVES

Yacht documentation services handle the documentary side of a boat: ownership, registries, registration and flags, deletions, export, taxes and other procedures applicable to each transaction.

WHO IT IS FOR

Buyers, sellers and owners who need to check, transfer, register, export or regularise boat documentation.

KEY CONCEPTS

yacht documentation · change of ownership · boat registration · flag registration · change of flag · flag deletion · taxes · vessel registry · LEB · MMSI

What procedures can be involved in a boat sale and purchase?

The transaction may require a contract, change of ownership, taxes or fees, registry updates and documentation checks depending on the flag, buyer, seller and use.

Is buying a Spanish-flagged boat the same as buying a foreign-flagged one?

Not necessarily. The flag, country of origin, tax status and intended destination can change the documents, taxes and procedures required.

SPECIALIST YACHT DOCUMENTATION

A boat can be perfectly ready to navigate and still have a paperwork problem.

An improperly closed flag registration, a registered charge, an engine change that was never recorded or an incomplete transfer can stop a sale when everything appeared ready.

That is why documentation should not be reviewed only on signing day. Fontnautic coordinates this area together with a specialist yacht documentation firm with more than 20 years of experience, allowing us to handle anything from a straightforward change of ownership to more complex international or technical files.

We do not assume that two similar transactions require the same documents. Flag, use, length, residence, buyer, seller, origin and tax status can completely change the procedure.

YACHT DOCUMENTATION PROCEDURES

From buying a boat to changing its flag, engine or use.

This list summarises the most common groups of procedures. If your case does not fit one of them exactly, ask us: yachting involves many special situations.

01

Sale and purchase and change of ownership

Sale and purchase documentation, contracts, change-of-ownership file and coordination of the documents required through to registration in the new owner’s name.

02

Registration, enrolment and registry

Enrolment and registration of vessels, formal registration where applicable and registry procedures according to the boat’s use, characteristics and situation.

03

Flag registration and change of flag

Registration under the Spanish flag or coordination of flag changes, first checking the documentation required by the registry of origin and the destination registry.

04

Flag deletions

Permanent deregistration, deregistration for export and coordination of certificates or documents needed to continue registration in another country.

05

Import and export

Documentary and administrative coordination for vessels arriving from abroad or destined for another country, including the tax or customs procedures applicable to the case.

06

Registry changes

Change of name, registry list, type of use, navigation area and other updates that need to be correctly reflected in the boat’s documentation.

07

Engine changes and refits

Administrative processing of engine replacements, technical modifications, conversions or repairs requiring an entry, inspection or technical documentation.

08

Permits, certificates & duplicates

Navigation permits, registry certificates, renewals, duplicates following loss or damage and other documents needed to keep the file up to date.

09

Radio, Ship Station Licence & MMSI

Ship Station Licence, MMSI, radio-equipment documentation and changes associated with flag, installation or ownership where applicable.

10

ITB and statutory inspections

Documentary coordination of periodic, additional or extraordinary inspections and the steps required to update the resulting documentation.

11

Taxes & fees

Review and coordination of applicable tax obligations: transfers, VAT, registration tax, fees, exemptions or non-liability and other concepts depending on the transaction.

12

Liens & marine mortgages

Review of registry status and coordination of charges, mortgages, leasing, encumbrances or cancellations where they affect a transfer or registry change.

13

Charter & commercial use

Changes of use, documentation for vessels intended for commercial activity, corresponding registry lists and administrative coordination for companies or fleets.

14

Qualifications & endorsements

Issue, renewal, duplicates, exchanges and other procedures relating to nautical qualifications or endorsements when they form part of the requested service.

15

Inheritance, gifts & special transfers

Changes of ownership that do not arise from an ordinary sale and purchase and require specific succession, tax or registry documentation.

16

Regularisation and special cases

Incomplete documentation, older vessels, modifications still to be recorded, amateur-built boats, temporary permits or other cases where the correct route must first be established.

INTERNATIONAL TRANSACTIONS

When the boat, buyer and flag are not in the same country.

International transactions add layers of documentation: deletion from the previous registry, proof of ownership, tax status, technical documents, translations, requirements of the new flag and, where applicable, customs or tax procedures.

The right way to approach it is first study the vessel’s origin, destination and specific situation and then build the sequence of procedures.

This avoids one of the most costly mistakes: buying or selling while thinking only about the contract, then discovering that a document required to register the boat at destination is missing.

FONTNAUTIC BUYERS

The transaction does not end when the contract is signed.

When you buy a boat marketed by Fontnautic, we support you throughout the process and coordinate questions and procedures related to the transaction.

We do not charge the buyer brokerage fees for that support. Taxes, official fees or third-party services applicable to the transaction may have their own costs.

How we support the buyer →

YACHT TAXATION

Before calculating a tax, the transaction needs to be understood.

Who is selling, who is buying, where they reside, where the boat is registered, its use and the form of transfer can change the tax treatment.

Transfers

Transactions between private individuals may be subject to transfer tax under the applicable rules and competent administration.

VAT

Transactions involving companies or professionals require the invoice, applicable regime and, where there is an international component, the context of the transaction to be reviewed correctly.

Registration tax

Certain vessels and circumstances may be subject to the Spanish Special Tax on Certain Means of Transport, with possible exemptions, reductions or cases of non-liability.

Fees & registries

Files may also involve administrative fees and costs for registries, certificates, inspections or other bodies depending on the procedure.

MORE THAN 20 YEARS OF SPECIALISATION

We do not treat yacht documentation as just another category within a general administrative agency.

Fontnautic works in this area with specialists who have been dedicated to the yachting sector for more than two decades. That experience is particularly useful when a case stops being standard.

A correction request, a foreign vessel, an old technical modification or incomplete documentation require knowing which authority, registry, technician or document actually unlocks the next step.

HOW WE MANAGE IT

An organised file before any paperwork is submitted.

Much of the process can be coordinated remotely, although certain cases may require original documents, signatures, inspections or in-person actions.

  1. 01

    You explain the case

Boat, flag, owner, the transaction you want to carry out and the documentation you have available.

  2. 02

    Document review

We identify the current situation, possible gaps and which documents determine how the file can proceed.

  3. 03

    We define the processing route

Authority, registry, taxes, fees, certificates, technical documentation and the logical order of actions.

  4. 04

    Submission and follow-up

We coordinate submission and follow the file, including corrections or additional documentation when requested.

  5. 05

    Documentation completion

We check what new documentation results from the procedure and what the owner should retain for future formalities or a possible sale.

YACHT DOCUMENTATION IN SPAIN

Nationwide coordination, without pretending to have offices where we do not.

We can assess vessel procedures throughout Spain and transactions with an international component. Many administrative formalities can be coordinated without the owner having to travel personally.

When a procedure depends on a specific registry, authority or marina, we coordinate the requirements according to the boat’s location and flag.

BOAT REGISTRATION & DOCUMENTATION COST

How much does boat registration and yacht documentation cost in Spain?

The cost of boat registration and yacht documentation depends on the process and, above all, on the condition in which the paperwork arrives. A straightforward ownership transfer with a complete file does not involve the same work as an international sale requiring registry deletion, translations, missing technical documents or discrepancies between records.

Professional coordination fees should be separated from taxes, administrative charges, sworn translations, notary fees, certificates, inspections or third-party documents that a transaction may require. They are different cost items and not every file needs all of them.

A boat sale may involve the sale contract, identity of the parties, proof of ownership, registry position, technical documents, applicable taxes, transfer of ownership and, where relevant, registration or change of flag. International transactions can add deletion from the previous registry, tax evidence, translations, apostilles or requirements from the new flag state.

That is why useful yacht documentation services begin by checking what exists and what is missing before promising a fixed price or timetable. Finding a missing document before completion is usually much easier than trying to solve it after the boat has changed hands.

Online yacht documentation does not mean an automatic process. Much of the paperwork can be coordinated remotely, but each file still needs review, consistency and follow-up until the final document is issued.

DOCUMENTS WORTH ORGANISING

Identification, CE documentation where applicable, engines, radio and certificates that form part of the file.

FREQUENTLY ASKED QUESTIONS

Frequently asked questions about yacht documentation

General answers. Each case is reviewed according to the boat, flag, transaction and current regulations.

01Which procedures can your yacht documentation service coordinate?

We can assess practically any administrative matter relating to a boat: sales and purchases, ownership, registries, registration, flags, deletions, import and export, technical changes, permits, certificates, radio documentation, taxation and other files.

02Can you handle the change of ownership after I buy a boat?

Yes. We review the transfer documentation and coordinate the change-of-ownership file and any tax or registry procedures applicable to the case.

03Do you handle flag changes and flag deletion?

Yes. We can coordinate deletion from the registry of origin and the documentation process for the new flag. Requirements change by country and boat status, so each file is reviewed before it is started.

04Can you handle a boat bought in another country?

Yes. International transactions may require documents from the registry of origin, flag deletion, proof of ownership, technical documentation and tax or customs procedures. We first review the origin, destination and status of the boat.

05Do you also handle engine changes or technical modifications?

Yes. Where an engine replacement, refit or modification requires an entry, inspection, technical documentation or authorisation, we can coordinate the file and the professionals required.

06Do you handle MMSI and Ship Station Licences?

Yes. We can coordinate radio documentation such as the Ship Station Licence and MMSI, as well as changes or updates linked to the boat, ownership or flag where applicable.

07Do you handle taxes and fees on a sale and purchase?

We can coordinate identification and processing of applicable taxes, fees and obligations. There is no single answer for every transaction: it depends on seller, buyer, residence, flag, use and the boat’s characteristics.

08Can you check whether a boat has charges or mortgages?

We can coordinate review of its registry position and the necessary actions where charges, mortgages, leasing, encumbrances or cancellations affect the transaction.

09Do you also handle formalities for charter or commercial boats?

Yes. We can assess changes of use, documentation for commercial activity, corresponding registry categories and other procedures for marine businesses or fleets according to the transaction.

10Do I need to travel to complete the formalities?

A large part can be coordinated remotely, but some files may require signatures, originals, inspections or in-person actions. We confirm this after reviewing the case.

11What happens if the boat is missing documentation?

It does not always mean the file is impossible. We first identify what is missing, why it is missing and whether a duplicate, regularisation process, certificate, inspection or registry action can resolve it.

12Do you work throughout Spain?

We can assess and coordinate procedures throughout Spain and international transactions. The competent authority and required documentation depend on each file.
